Organisations' Guide

Introduction

Thank for you for accepting the invitation to attend the Imperial College Iraqi Society event on Friday 14th November, entitled "Iraqi Cultural Exhibition".

The aim of this short guide is to ensure that you, as an organisation attending this event, know precisely what to expect when you arrive on the evening, and we hope we can clarify any questions you have beforehand.

The event is intended to start at 6pm at the Sir Alexander Fleming Building, South Kensington Campus (please see map for location). Because this event is the first of its kind, we are unsure as to how long the event will last. We hope to finish off before 9pm, but will ensure the event does not last longer than this.

About the Imperial College Iraqi Society

We are a new and innovative society that intends to raise awareness about the past, present and future issues surrounding Iraq. We aim to ultimately create a free, better Iraq and it is through our university events and networking alliances that we hope to achieve this.

With an extremely young and enthusiastic committee we are already well into our academic year, and hope that the Iraqi Cultural Exhibition can be one of the largest and most successful events of the year.

We are a politically- and religiously-neutral society and we hope to portray this in our events. We understand the emotûons involved when discussing issues about Iraq, and hope to take an unbia3ed stance on each topic. We therefore welcome Iraqis from all backgrounds and cudtures an$ it is on this front we hope to make the Iraqi Cultural Exhibition a success.

We wish to broaden our hnrizons of kýowledge by organising such events, and have very recently hosted a tamk entitled "What can Iraq's History tell us about its Future?" by Professor CharlEs Tripp of SOAS University. This attracted a crowd of over 70 people, students and non-students from across London, and we wish to build on this for the Cultural Exhibition.

Iraqi Cultural Exhibition

We have organised such an event in order to promote networking between Iraqis as well as improve cultural awareness about Iraq. Organisations such as the one you are representing, will be the main focus of the event, though will we aim to provide Iraqi food and poetry also.

The main aim of this event is networking - attendees will be interested in what you do with regards to Iraq - be it culture, arts, charity, academic or otherwise. We have a large area booked out and we hope this will be spacious enough to accommodate those attending.

We will also have PowerPoint presentations displaying pictures of Iraq. These will be automated presentations, playing in the background on large screens available in the rooms. The Imperial College Iraqi Society Committee will be organising these presentations, and we hope these will add to the atmosphere of Iraqi culture.

Event Logistics

As an organisation participating in the event, you are able to have your own "stall" - a standard table in a suitably located position, as well as a large pin board behind where you are able to pin up any literature you wish.

You will be able to speak to attendees of the Exhibition, as well as distribute any material that you bring with you on the day, or sign people up to your organisation. You also have permission to sell items, but for this the Imperial College Iraqi Society would ask for a small donation.

At approximately 7:30pm, we will arrange chairs around the central projector screen and invite attendees to sit and listen to your presentations as well as any examples of Iraqi culture such as poetry. During this time, we are inviting each organisation to give a brief presentation of no more than two minutes in duration, and you will have access to Microsoft Powerpoint and a microphone.

After the presentations, attendees are once again welcome to interact with your stall and ask any more questions they may have. Soon after people would start to leave and the event will come to a close.

Location

The Exhibition will take place in all the seminar rooms (opened partition) on the first floor of the Sir Alexander Fleming (SAF) Building, SW7 2AZ. The location to the SAF Building is shown below:

As you enter the Sir Alexander Fleming Building, the huge staircase ahead of you leads directly towards the seminar rooms, which are located immediately on the right.

Parking and Loading

If you wish to attend the Exhibition by car, then there is a 20 minute loading period directly outside the SAF building, but you cannot park there unless booked in advance. Please also note that Imperial College is in the Congestion Charge Zone. After 6:30pm, parking is free in the neighbouring roads (most conveniently on Prince Consort Road), as is the Congestion Charge.
